Port selection: why the closest port is not always the right one

Port selection does not depend on distance alone. Cargo type, terminal capabilities, connections and final destination determine the time, cost and reliability of a shipment.

When planning an ocean shipment, the geographical position of the port is often one of the first factors considered. Choosing the port closest to the point of origin or final destination may seem like the most convenient solution. In reality, distance is only one of the variables that must be assessed.

Port selection should take into account the type of cargo, shipment requirements, available infrastructure, maritime and inland connections, and the operational capabilities of the terminal. A port located farther away but offering better equipment and connections may reduce overall transit times, limit intermediate handling and make the entire operation more reliable.

Geographical distance does not necessarily mean logistical efficiency

The closest port is not always the one that guarantees the fastest route or the lowest overall cost. A port may be located only a few kilometres from the loading point but lack direct services to the required destination or the equipment needed to handle a specific type of cargo.

In these cases, the shipment may require transshipment, transfer to another terminal or longer waiting times. Any advantage gained by reducing inland transport could therefore be cancelled out by higher operational costs and lower predictability.

Effective port selection must consider the entire cargo journey, from its point of origin to its final destination, rather than focusing exclusively on the first leg.

Every type of cargo requires specific infrastructure

The growing specialisation of ports reflects the different requirements of the cargo they handle. Containers, vehicles, bulk commodities and oversized loads cannot be managed using the same equipment and procedures.

Containerised shipments require terminals equipped with suitable cranes, well-organised yards, efficient handling systems and regular connections to the main shipping routes. For refrigerated containers, it is also essential to verify the availability of reefer plugs and temperature-monitoring services.

Ro-Ro traffic requires vessels and terminals equipped with ramps, large parking areas and dedicated spaces for handling vehicles, trailers and industrial equipment. In the automotive sector, storage capacity, area security and the organisation of inbound and outbound flows are equally important.

Project cargo, industrial machinery and out-of-gauge loads require high-capacity cranes, specialised vehicles, suitable operational areas and routes free from physical obstacles. Even a small difference in access width or quay load capacity can determine whether an operation is feasible.

Dry and liquid bulk cargoes require dedicated systems such as silos, conveyor belts, pipelines, storage tanks and suction equipment. Without this infrastructure, cargo handling may become inefficient or even impossible.

Available shipping services and connections

Another key element in port selection is the range of available services. Not every port offers direct connections to the same destinations, and shipping lines do not always provide the same sailing frequency.

A direct service can reduce transit times and minimise the risks associated with transshipment. Conversely, a service involving several intermediate ports may increase the likelihood of delays, missed connections or schedule changes.

Road and rail connections must also be assessed. A port that is well integrated with the main logistics corridors can facilitate the movement of cargo to warehouses, production facilities and final markets. The quality of the last leg of the journey can affect overall efficiency just as much as the ocean route itself.

Terminal operational capabilities

The availability of infrastructure alone is not enough. The actual operational capacity of the port terminal must also be analysed.

Relevant factors include berth availability, water depth, crane capacity, yard organisation, operating hours and the presence of warehouses or customs-controlled areas. Certain types of cargo may also require health, veterinary or phytosanitary inspections, as well as specific procedures for dangerous goods.

Port congestion can also have a significant impact. Long waiting times for terminal access, container collection or cargo inspections may generate storage, demurrage and detention costs. A solution that initially appears cost-effective may therefore become considerably more expensive than expected.

Assessing the total cost of the shipment

Comparing ocean freight rates alone is a mistake. The assessment should also include inland transport, port charges, cargo handling, possible transshipments, waiting times and storage costs.

The financial impact of risk must also be considered. A delay can interrupt production, compromise a commercial delivery or generate contractual penalties. For this reason, port selection must aim for the best balance between cost, transit time and reliability, rather than simply choosing the lowest initial rate.

A more distant port may prove more cost-effective overall if it offers a direct service, more frequent sailings, a specialised terminal and more efficient inland connections.

The role of the freight forwarder in choosing the right port

Identifying the most suitable port requires a complete overview of the shipment. Knowing the maritime route is not enough: cargo characteristics, packaging, dimensions, weight, regulatory requirements, deadlines and final destination must all be evaluated.
